Custom Report Generator

The Custom Report Generator allows users to pull information from files in the system to report upon.  Custom reports such as account address listings, account price matrixes and special pricing lists, and inventory lists that can filter information such as sales (or no sales), etc. can be created to assist with running the business.


Click NEW to create a new report.


REPORT SETTINGS

• Description: Enter the name of the report that is being created.  A description is required to preview, save, or run a new report.
• Category: Enter a new category by typing in the box, or select from a previous list of categories by clicking on the arrow on the right side of the box. 
• Report Type: To create a custom report, click Custom.
• Report Security:  Report security allows users to filter what users are able to see within the reporting area and within specific reports themselves.
• Security Level: Users must have a higher security level than the number displayed to view the report.
• Password: If a password is entered, users must enter the password to view/edit the report.

Click Next to continue.


FILE SELECTION
The list of any table that can be reported upon displays on the page.  Select the appropriate file (which contains the desired information) and click Next to continue.

The list is as follows:

                                    Cost Matrix Supplier Paid In Reasons Ship Via Codes
                                    Customers Paid Out Reasons Special Pricing By Account

                                    Inventory Price Adjust Reasons Suppliers
                                    Inventory Update Files Price Matrix By Account Tax Rates
                                    Manufacturers Price Matrix By Group Terms Codes
                                    Non Stock Pricing Qty Adjust Reasons Zip Codes


FIELD SELECTION

Fields from dat[table selected from previous step]: The fields in the left box are all fields from the selected table that can be reported upon.  Users will select each field that they'd like to see on the report (from the left) and move it to the right by clicking >> or double-clicking on the field.  

• >>: Move the selected field to the right box, which will add it to the output of the custom report.
• <<: Remove items from the right (those that would display on the report) back to the left box.  Any items removed will NOT display on the final report.
• Move Up: Select an item in the RIGHT box and click MOVE UP to move the fields up the list.  The further up the list, the further to the LEFT the items will appear on the final report.
• Move Down: Select an item in the RIGHT box and click MOVE DOWN to move the fields down the list.  The further down the list, the further to the RIGHT the items will appear on the final report.
• Formatting: Click FORMATTING to make special formatting changes to the selected field in the RIGHT box.  These include changing the way in which dates appear, the way in which currency appears, and whether information in a report is all Upper Cased.  Click OK after adding any changes to the FORMATTING box.

Click Next to continue.


RECORD SELECTION

Click Change to filter the information that displays on the report.  Users can use any field within the selected file as a filter.

REPORT OPTIONS
Sort Report By: To sort a report, select a field in 1st Level, 2nd Level, and/or 3rd Level.  Also choose whether the information to be sorted should sort in Ascending or Descending order.

Report Options:

• Number of Copies: Enter the # of copies to be printed each time the report is run.
• View Gridlines: A check in the box will display gridlines on the preview and on the printed report.  Please note that gridlines take up more space on a page, so files will be longer if gridlines are to be printed.
• Title Font: click Title Font to select the font, font style, and font size for the title of the document.
• Column Header Font: click Column Header Font to select the font, font style, and font size for the column headers within the document.
• Detail Font: click Detail Font to select the font, font style, and font size for the information within the report.

Click Next to continue.


FINISH SELECTION

The user should start by looking at the Current Number Of Records.  If the number is inappropriately large or small, the settings may be incorrect.  Users can click Back to return to the settings screen and make adjustments.

• Save: click Save to save the document to the Report Library.
• Run: click Run to print the report to the default report printer (setup in Workstations).  The user will still have the opportunity to Save the report after it is Run.
• Preview: click Preview to preview the report to the screen.
• Limit Preview To: users may choose to limit a preview to a few records, to confirm that a report is setup correctly.  Please note, the higher the number of records in Limit Records To, the longer that the preview may take.
