Saving a Ticket - Installer

 

Overview

The transaction options listed below should be followed sequentially in order to track a customer and their vehicle through the entire process of dropping off, completing service, and picking up their vehicle. An Estimate is created after the first contact with the customer; it then becomes a Work Order, a Completed Work Order, and finally an Invoice.

 

Steps: Saving a Ticket - Installer

 

Clicking the Save As button from the Point Of Sale screen allows the ticket to be saved in one of the following formats listed below. In addition, entering the vehicle information can by skipped by checking the parameter ‘Bypass Vehicle Save Requirements (for this ticket)’.

 

Estimate An estimate is created when the customer first contacts you, either by phone or in person. This will provide the customer with an estimated cost of the repairs needed.

 

Each time a change is made to a ticket saved as an Estimate, the system can require the customer name and phone number to be re-entered. (See Revised Ticket in POS Settings for more information.)

 

  Creating an Estimate

Once a customer and vehicle are selected, the transaction can be saved as an estimate by clicking the Save As button and then clicking the Estimate button. (See Adding a New Customer and Linking a Customer to a Vehicle for more detailed information.)

 

Work Order A Work Order is created from an Estimate once the customer has given approval to repair the vehicle. Work Orders are then given to a technician to look at.

 

 Creating a Work Order from an Estimate

A Work Order is created by retrieving a previously saved Estimate. (See Retrieve Existing Transactions .) With the retrieved Estimate open, make any applicable changes and then save as a Work Order by clicking the Save As button and then clicking the Work Order button.

Note: To save a Work Order back to an Estimate, the log in ID must have the minimum security level specified in the security shop setting.

 

Completed Work Order A Completed Work Order is created from the Work Order once the technician has completed the work on the vehicle. The technician can also enter recommended services for the vehicle as well as any technician comments on the Completed Work Order

 

 Creating a Completed Work Order from a Work Order

Retrieve the previously saved Work Order. (See Retrieve Existing Transactions.) With the retrieved Work Order open, make any applicable changes and then save as a completed Work Order by clicking the Save As button and then clicking the Completed Work Order button.

Note: Once a ticket is saved as a Completed Work Order, it can not be saved back to an Estimate.

 

 

 

Invoice An Invoice is created from a Completed Work Order once the service has been completed and the vehicle is ready to be picked up. The ticket is now ready to be tendered

 

 Creating an Invoice from a Completed Work Order

Retrieve the previously saved Completed Work Order. (See Retrieve Existing Transactions.) With the retrieved Completed Work Order on the screen, make any applicable changes and then tender the ticket. Tendering the ticket will automatically save the ticket as an Invoice.

 

Note: Once the ticket is saved as an invoice, you will no longer be able to edit it.
