OVERVIEW
The Related Sales Message function enables parts to be associated with a message that will be displayed during Point of Sale.
After a message and associated part have been added to the Related Sales Messages table, the message can then be linked to a specific item or group of items.
When the linked item is sold at Point Of Sale, the Related Sales Message will display. A Yes response to the message will add the associated part to the invoice.
The system will not repeat a related sales message. If the same related sales message pertains to various items on the ticket, the user can increase the quantity of the related sales item, if needed.
SETUP PROCESS
Type the related sales message in the Message box and press Enter
Mfg/Part Number: Enter the part number to add to the invoice for a Yes response to a related sales message at Point Of Sale.
The Alternate field on the inventory record can be used to offer a selection of items attached to the related sales message.
Enter the value from the Alternate field in place of a part number.
For example, if inventory items 100, 101, 102 are the same product in different sizes, they can all be assigned the same Alternate field value. When an item is sold that is attached to this related sales message, the customer will be offered a choice of all the items assigned to the Alternate field value.
If NO Message: Select a disclaimer message (from previously entered Invoice Comments ) to include on the invoice for a No response to a related sales message at Point Of Sale.
Display Message Y/N: If parameter is set to No, the message will not be displayed and the linked item will be automatically added to the invoice. This is often used to include an item that is free with purchase.
Click on the Save icon on the tool bar to save the related sales message entered.
Click on the X in the upper right hand corner to exit and close the screen.
Note: related sales messages can also be added or modified from the Related Sales Configuration function.
After the related sales message with associated part is added to the table, it is available to be linked to an applicable item or group of items. A related sales message can be linked to an individual item by using the Part Number field or linked to a group of items by using the Manufacturer field, Message Category field or Message Code field. In addition, a single related sales message can be configured to link to multiple items. Access the Related Sales Configuration by clicking on:
Access the Configure/Edit tab to link a related sales message to an item or group of items.
Enter the following information to link each related sales message to an item:
Manufacturer: Enter the Manufacturer of the linked item that should display the related sales message.
Part Number: Enter the Part Number of the linked item that should display the related sales message.
Message Category: Enter or select the value from the applicable inventory record field as displayed in the Cross Reference Table.
This will link the related sales message to all inventory items containing this value. This could save time by not having to enter each individual part number associated with the related sales message.
Category values are added to the table and maintained through: Tools / System Tables / Category Code
Message Code: Enter the user defined 3-digit code from the applicable inventory record field as displayed in the Cross Reference Table.
This will link the related sales message to all inventory items containing this 3-digit Code. This could save time by not having to enter each individual part number associated with the related sales message.
Available Messages: Select the applicable related sales message to link to the item information entered above.
Messages can be added or removed from the related sales message table while remaining in the configuration mode.
Add/Remove Available Messages button -- This will directly open up the Related sales Messages table and allow new sales messages to be added or existing messages to modified or deleted.
Refresh button: This will refresh the this list of messages displayed on the configure/Edit tab to reflect any changes made after accessing Add/Remove Available Message button. The Refresh button will change to red each time the Related Sales Message table is accessed even if a change was not made to the table.
Save the information entered by clicking the Save button or the Save icon on the tool bar.
Exit the Related Sales Configuration function by clicking on the Exit button.
Follow the steps listed below to link an existing related sales message to an additional item number. This is often used to link a single related sales message to multiple items.
Access the Configure/Edit tab
Highlight the related sales message and enter the applicable information into the fields to link to the new item.
Save the information entered by clicking the Save button or the Save icon on the tool bar.
Once the related sales messages are configured, they are grouped by Message, Manufacturer, Message Category and Message Code into the following tabs:
View By Message Code tab
To edit a Related Sales Message, access one of the tabs to view the available messages. Select the applicable message, manufacturer, category, or code from the drop down box and the system will display all corresponding messages. For example, in the View By Mfg tab, select the manufacturer code from the drop down box and the system will display all related sales messages assigned with the manufacture code selected.
(Note: Once an Available Message is highlighted in the Configure/Edit tab, only the Configure/Edit tab can be accessed; other tabs can only be accessed before highlighting a message to configure. Additionally, tabs will not be available to access until at least one message has been added to the Related Sales Messages table .)
Highlight the applicable Related Sales Message and click Edit. The system will open the Configure/Edit tab. Note: if a message was not highlighted, system will default to editing the first message from the displayed list.
Make relevant modifications and save the information by clicking the Save button or the Save icon on the tool bar. Once the information is saved, the system will automatically bring the user back to the View By Message tab.
A Delete button is available when editing a sales message via one of the view tabs; the Delete button is not available when directly accessing the Configure/Edit tab to link a new or existing sales message. Clicking the Delete button will delete the edited sales message; regardless of which message is highlighted on the Configure/Edit tab.
