Retrieving a Vehicle for an Existing Customer

 

 

 

Overview

 

A vehicle search can be performed for an existing customer using the Vehicle List function, License number, or Unit number.

 

The Vehicle List function enables the user to view a list of all vehicles linked to a specific customer. This option is only used when the Vehicle Required Flag in the Account Record is set to NO; setting the parameter to NO also allows a ticket to be saved without a vehicle. When the Vehicle Required Flag is set to YES, the system will automatically display the list of vehicles linked to the customer; setting the parameter to YES also requires a vehicle to be added or selected before a ticket can be saved;. For the default Cash Walk-in Account customers, a shop question can be set to attempt to match the cash walk-in customer with a vehicle entered on a previous occasion.

A search for a vehicle can also be done using the License number or Unit Number as long as the license number or unit number has been entered and saved on the system.

 

 

Steps: Retrieve a Vehicle using the Vehicle List function

 

  1. Once a customer is retrieved and displayed in the Customer Information box, click on the Customer Information box to access the Vehicle List function. (For more information see Retrieving an Existing Customer.)

 

  1. Click on the Vehicle List button and a list of the vehicles that have been serviced for this customer will be displayed. Select one of the displayed vehicles or add a new vehicle:

    1. Click on the applicable vehicle and the vehicle information will be transferred into the Vehicle Information box on the open ticket.  

Note: The information displayed can be sorted by clicking on the heading of the column you would like to sort.

    1. Click on the Add New Vehicle button to add a new vehicle. Once a vehicle has been added, the vehicle information will be transferred into the Vehicle Information box on the open ticket.

 

  1. The ticket must be saved in order for the Vehicle Information to be saved with the specified customer name.

 

 

Shop Question: Customer Retrieval by Vehicle

 

A shop question can be set to attempt to match a previous cash walk-in customer to the vehicle entered. This parameter will only apply to the default Cash Walk-in Account. This shop question can be found in:

 

TOOLS | SYSTEM SETUP | POS SETTINGS | INSTALLER

 

 

  1. Shop question: Customer Retrieval by Vehicle.

    1. If NOT checked, a vehicle will be added as normal without searching for other customers with the same vehicle.

    2. If the Shop question is checked and a vehicle is added for the default Cash Walk-in Account, the following options will be available:

      1. Continue With New: will continue adding the new vehicle without displaying existing customers with the same vehicle.

      2. OK: will display all existing customers with the exact same vehicle. The following options will then be available:

        1. Continue With New: to not select one of the displayed customers and add a new customer with that same vehicle.

        2. Click on one of the existing vehicles and the vehicle information will be transferred to the Vehicle Information box on the open ticket.

        3. OK: will automatically select the highlighted vehicle and transfer the vehicle information to the Vehicle Information box on the open ticket.

 

 

Steps: Retrieve a Vehicle using the License Number/Unit Number Search

 

 

  1. From Point of Sale, click on the Vehicle Information box / Customer Information box.

 

  1. Click the Vehicle Search button

    1. Note: this is dependent on if the user selected the Vehicle Search button when setting up the POS buttons.

    2. See POS Button Setup for more information.

 

  1. Click the By License button or the By Unit Number button. A Unit Number is an internal number can be used for the account to track numbered cars in a fleet.

    1. In the space provided, enter the License Number or Unit Number and then click OK.

    2. Click on the specific vehicle to select. The vehicle information for the selected vehicle will then be brought into the current ticket, along with the customer’s information that is linked to that vehicle.
