Reason Code Values 

Reason codes are the values that appear in pop-up boxes for various components within the application. Since the reason code values will vary based on the application component, each applicable component has an assigned reason code table. A customized set of reason code values can be defined for each table.

The reason code tables are independent of each other and must be individually defined. The tables listed below offer the ability to create a set of reason code values applicable to that component.

• Paid In Reasons
• Paid Out Reasons
• Price Adjustment Reasons
• Quantity Adjustment Reasons
• Referral Reasons
• Return Reasons
• Warranty Reasons

To access one of the above tables, click on TOOLS | SYSTEM TABLES | and select the applicable table. This will open the selected reason code table and allow modifications to be made.

The reason code tables all require the following fields to be completed when adding or modifying reason code values: 

• Reason:  Enter a reason value that will later appear in a pop-up box value list. 

• Reason Code:  Enter a 1 to 5 digit alphanumeric code that is used internally in the system. 

• Enabled:  
  • Set to Yes to include the reason in the pop-up box value list.
  • Set to No to not include the reason in the pop-up box value list. 

• Addl Info Prompt:  Enter a statement that will appear as a prompt in POS screen for the counterman to input additional information. 

• Addl Info Format:  Choose a format for Currency, Date, None, or Text for the Addl Info Prompt field above.

In addition, there are some other fields that are only applicable to specific tables. 

• GL Number:  This refers to the entry number in the general ledger and is only applicable to the Paid In and Paid Out tables. 

• Defective:  
  • Set to Yes if the return reason applies to defective merchandise. When an item is returned for a defective reason, the system will prompt the user to add the part to the Supplier Returns List.
  • Set to No if the return reason does not apply to defective merchandise. 

• Picture:  Select the applicable graphic picture that represents the warranty condition.
